SSRS (Sql Server Reporting Service)

With the launch of ACME and the museum’s commitment to move away from on-premise servers, we began to look for ways to fully retire the Galaxy servers. While the database will be moved to a data repository in the cloud, we also needed a solution for the self-service reports being hosted through Sql Server Reporting Service (SSRS or Galaxy Reports). To get a sense of the teams who were still utilizing SSRS and what specific reports/data they were looking for, the ticketing team sent a museum wide email on 2/3/2023. The team heard back from the Corporate Partners team, Finance, Membership/Advancement, and School Programs.

From the reports that were reference in the replies, the ticketing team determined that flat files could be made for all the data that Corporate Partners and School Programs needed. Separate meetings were also schedule with the Finance team and Membership/Advancement to further talk through their needs.

Ticketing met with Membership/Advancement on 4/20/23. The membership team had asked for transaction level data for memberships and donations, which would have been too large for a flat file. We were able to determine that the weekly reports would suffice for daily information (sales and revenue for memberships and donations), they would get a new flat file with lapsed members starting 1/1/2015, a new flat file with non-member ticket buyers starting 1/1/2022, and they could request information from the System Admin if they needed transaction details.

Ticketing met with Finance on 4/25/23 and it was determined that no flat files were needed. The Finance team would request reports for specific dates as they are requested during the yearly audit process.The ticketing team will send out another musuem wide email 2 weeks before the site is closed to ensure users have time to download and save any information they deem necessary. With the creation of these new reports and the System Admin’s continued access to the database, the ticketing team will be able to completely close out all SSRS access by the end of FY23.
